EVENT TERMS AND CONDITIONS

In this clause, Force Majeure means circumstances which are beyond the reasonable control of UNLEASH Group of Companies and which are reasonably likely to affect UNLEASH Group of Companies’ successful delivery of the Event or would make it inadvisable, impracticable, illegal, or impossible for a party to perform its obligations as originally contracted under these Terms & Conditions, including, but not limited to: failure of a utility service or transport or telecommunications network, lockout, strike or other industrial action (whether or not involving UNLEASH Group of Companies’ own workforce), civil unrest, fire, flood, storms, earthquakes, chemical or biological contamination, any restriction or measures imposed in connection with a pandemic, epidemic, public health emergency (including but not limited to the Covid-19 pandemic), act of God, riot, malicious damage, compliance with any law or governmental order, rule, recommendation, regulation or direction (including travel-related guidance and restrictions), accident, breakdown of plant or machinery, or default of suppliers or sub- contractors, sonic boom, acts of terrorism, acts of war, governmental action or advice. 

 If, because of Force Majeure, UNLEASH Group of Companies cancels the Event, UNLEASH Group of Companies shall use reasonable commercial endeavours to reschedule the Event. Without prejudice to its obligations, UNLEASH Group of Companies accepts no liability and will not be liable for any compensation where the performance of its obligations under these Terms & Conditions is affected by Force Majeure.

No information contained in the Site or provided at the Events should be deemed to constitute the provision of financial, investment or other professional advice in any way.

If you choose to register using our social sign up widget, your name, email, job title, company and social profile will be processed by INGO, to power the UNLEASH event community experience. By using the widget, you accept Ingo’s privacy policy.

If your application to register is accepted, you are agreeing that your information will be passed to our Mobile App provider, Cvent, where a profile will be created for you that enables your app access onsite. Attendees must use their own badge while onsite at the event. Badges are non-transferable and may not be shared onsite. Any person found to be in violation of this policy will have their badge confiscated by event personnel and will be asked to leave the conference. No one under the age of 18 is permitted at any conference activity, keynote, or session unless as an approved Student type or previous approved in writing by a member of the UNLEASH Leadership team. 

UNLEASH enables exhibitors to scan participants badges. By allowing the exhibitor or session sponsor to scan your badge, they will have access to your contact information, as provided during the registration process, which they will use to follow up post event. A list of event sponsors can be found here, here and here.

Your badge will also be scanned upon entry and exit to the event, as well as into sessions and areas of the event itself, this is used for analytics and health and safety purposes only.

You agree to notify us of any changes to your personal circumstances with respect to any information or representation made herein and to provide us with any changes to this information as we may reasonably require.

The copyright in the Site, the Event(s), and the publication (unless otherwise indicated), its contents, including all information, graphics, code, text, and design are owned by UNLEASH Group of Companies and should not be reproduced or distributed without permission.

By registering, attendees grant UNLEASH and its agents the right to take photographs or videos of them during UNLEASH event activities. 

Attendees grant UNLEASH the worldwide right to use, copy, distribute, exhibit, broadcast, transmit, perform, publish, and display the photos/videos of attendees, with or without names and biographic material, in any media including in print and electronic. UNLEASH may use the photos/videos for any lawful purpose including, but not limited to, publicity, marketing, and advertising – and is under no obligation to compensate attendees.  

Attendees agree that UNLEASH is the exclusive copyright owner of the photographs/videos. Attendees further understand that content posted to social networks will be subject to the social network’s applicable terms and privacy policy. 

Our Events are open to professionals only. Solicitation of business or distribution of materials by non-exhibitors is strictly prohibited. Violators will be immediately removed from the show. 

Any person found to be registering to attend our events using false information or credentials or deliberately withholding information will have their application automatically denied and may be liable to prosecution. Without prejudice, the organizers reserve the right to exclude any person(s). 

Our policy objective is to ensure a healthy ratio of Enterprise to Vendor delegates at all our events. This ensures that representatives of Enterprise organizations are not overwhelmed by Vendor organizations. It assists in the protection of investments made by the Sponsors, Exhibitors, and Partners at UNLEASH events. To achieve this, we enforce a strict policy of approvals with quota limits. It should be noted that we reserve the right to refuse ticket(s) to representatives of vendor companies (software/services/solution providers) and consultants of any kind who register themselves in this way. 

Once a successful purchase transaction has been completed, tickets are delivered electronically via email to the email address nominated by the purchaser. The ticket acts as a receipt for the transaction and can be used to redeem entry at the UNLEASH event listed on the ticket. A printed hard-copy ticket or an electronic soft-copy ticket detailing the reference number or barcode can be used to register at the event.   

UNLEASH Group of Companies claims the right to reject any ticket purchase within a maximum of 7 days after the clarified payment. If this happens, a full refund will be issued. 

Closed Circuit Television Cameras (CCTV) will be in operation at all times during the events. The organizers reserve the right to deliver the CCTV videotapes to the Police or other competent authority as evidence if requested to do so. The contents of such videotape may be used as evidence in a court of law. 

UNLEASH Group of Companies reserves the rights to film/permit approved third party filming across the show open days of the events. 

By attending the show, visitors permit the organizers/approved third parties to use any footage taken. No person under the age of 18 years, including children of the exhibitors, will be admitted during the tenancy period. Canvassing is not permitted. 

The organizers reserve the right to exclude or remove anyone from the events or venue who does not comply with this policy or who they reasonably consider are likely to break the rules.

I acknowledge that UNLEASH Group of Companies will not provide transport or travel expenses to or from any UNLEASH event.

UNLEASH cares about the health and safety of our customers, partners, employees, and communities. We continue to monitor local COVID-19 protocols and mandates to ensure we can meet them in the safest way possible.

Masks are still recommended for individuals who are not fully vaccinated and those with underlying health conditions. These protocols and mandates may change at any time. We will do our best to communicate any changes as they arise and appreciate your cooperation to ensure we can gather in a safe and compliant manner.

I acknowledge that UNLEASH Group of Companies will consider but not guarantee exhibitors requests for day changes at any event or conference. All items (screens, laptops, cabling and other electronic equipment, rooms, furniture etc.) supplied are on a rental basis and no exchange, transfer or refund of ordered items on-site will be entertained. Exhibitors must pay for any damages or losses caused to items supplied to them. 

Cancelled orders are not refundable. Non-standard items may be offered on request, subject to a separate quotation, and are subject to the same terms and conditions. Any complaint regarding rental items or installation must be lodged before the opening of the event. In respect of items rented on the day, items should be inspected immediately and tested. The equipment must be insured “all risk” by the hirer, who will remain liable until the authorized staff has collected the equipment. In case of disappearance, the equipment will be invoiced at the original insurance value.

The following cancellation and refund policy applies to Delegate passes for all UNLEASH Events.

*Credit voucher is issued for the value of the ticket amount invested.  To be used at any UNLEASH event within 12 months of date of credit voucher.  The credit voucher does not include a hotel room. 

A Senior Leadership representative to attend in your place can be named at any time before the event starts and no fees will be applied to this. This transfer of pass cannot be completed onsite. More than one name change made within two (2) working days to the event will be subject to a service charge equivalent to 12% of the ticket amount.  If your ticket is cancelled due to malpractice or misuse of discounts no refund will be issued. UNLEASH Group Ltd reserves the right to refuse any refund based on management discretion. 

If you require a refund based on testing positive for Covid-19, you will need to provide evidence to the Customer Services team of your positive results.  

If you need to cancel your ticket because you have been denied a Visa application, you will need to contact our Customer Services Team within one week from the rejection to be eligible for a refund.

Completion of an application form applying to attend the Event under any of our ticket types does not automatically guarantee a place at the Event. As a curated experience, UNLEASH checks all applications to ensure that we create the highest quality event for all our attendees.

All applications should expect a response to confirm your registration status within 3 working days. Applicants will be notified by UNLEASH if their registration is successful. If your application is denied you may be offered other relevant alternatives or a ticket refund if required. Access will not be granted onsite to rejected applicants.

Completion of an application form applying to attend as a HR Leader at the Event does not automatically guarantee a place on the programme. All applications to the Event will be reviewed by UNLEASH. Applicants will be notified by UNLEASH if their registration is successful. If successful, an applicant will become a HR Leader, and be bound by the attendance conditions.

By applying for a Free HR Leader ticket, you are committing to attending all live days of the Event. A Senior Leadership representative to attend in your place can be named up to two weeks before the event starts, and no fees will be applied to this. This transfer of pass cannot be completed onsite. If you or an approved representative do not attend the Event a fee of 500 € will be charged to you via invoice, using the billing details supplied upon registration. Attendance of the Event will be proven by our registration system.

For eligible ticket holders who are offered special rates from the UNLEASH room block, these must be booked in accordance with supplied dates and instructions. Tax and resort fees are payable by the guest, and UNLEASH is not responsible for incidentals, damage to property or loss of personal property.

More information will be provided at the point of booking for eligible ticket holders.

Discount codes cannot be combined with any other offers or credit received from a previous show. Any credit issued must be used by the original recipient and cannot be transferred. 

Discounts cannot be retroactively applied to a completed ticket purchase. Additionally, refunds or credits cannot be issued of equivalent value to any offered discounts or promotions. Complimentary upgrades are considered on a show-by-show basis at the discretion of UNLEASH Group of Companies. UNLEASH Group of Companies does not guarantee an upgrade is applicable and UNLEASH Group of Companies retains the right to decline upgrade requests at any time, for any reason at its discretion. 

Early bird pricing windows are final unless otherwise adjusted by an active promotion. After the pricing window has closed, the expired rate will no longer be made available and cannot be retroactively applied. 

If an attendee is found using a discount code that was not provided for the code’s intended use, the purchaser’s ticket will be cancelled, and no refund will be issued. 

UNLEASH Group of Companies discounted tickets are not eligible for resale. Any resold tickets will be immediately considered void and ineligible for a refund. 

Tickets and Add-ons are subject to individual promotions and cannot be combined or redeemed against one another. 

Any discount provided for these add-ons will not be applicable after a purchase transaction has been completed. Discounts must be applied before purchase confirmation when selecting available products. 

Tickets distributed as part of a sponsorship package are applicable exclusively to the contracted company.  The agreed number of complimentary tickets cannot be exceeded. Complimentary tickets will only be valid for said company unless otherwise specified by a member of the UNLEASH team. 

Discount codes cannot be redeemed onsite at the event.

The events, information, and speakers listed on our Sites are subject to change without notification. 

Unused tickets/passes will be forfeited and are not transferable to another event. 

Ticket holders may not sell, offer for sale, offer at auctions, resell, donate, act as commercial agent for another party or otherwise transfer their tickets in any way without the specific prior written consent of UNLEASH Group of Companies.

Show recordings purchased before, at or after the show can be subject to a development retainer and can take up to 6-8 weeks from the end of the show to be available for attendees to view. In the case of an unforeseen circumstance, UNLEASH Group of Companies reserves the right to extend this period without notice, and there will be no changes to the refund policy if this occurs. 

As per our refund policy, there will be a 48-hour period after the purchasing of any recordings to apply for a refund. After that time the recordings will no longer be eligible for a refund. Once the recordings are available, the 48-hour period becomes invalid and all attendees purchasing recordings will gain immediate access and for that reason will not be eligible for any refunds. All refunds must be submitted in written format to the Customer Services team at support@unleash.ai.

As owner and producer of UNLEASH America and UNLEASH World, UNLEASH Group LTD works diligently to protect our exhibitors’ commitment and investment in the trade show and the industry by taking a firm stance against outboarding.

Outboarding is defined as any digital or physical non-permanent exhibit, demonstration, event, or branded activation that is created and deployed outside the scope of UNLEASH America/UNLEASH World but is promoted or implied as being a part of UNLEASH America/UNLEASH World. This includes digital or virtual programming and activations as well as physical events at Las Vegas/Paris hotel suites, meeting rooms, ballrooms, restaurants, clubs, etc. For physical events, a company is also considered an outboarder if it has contracted space with UNLEASH America/UNLEASH World but contracts directly with another Las Vegas/Paris venue for space (for more than one day) that exceeds the net square footage (NSF) contracted with UNLEASH Group Ltd.

Trade shows are organized so that companies in specific industries can showcase and demonstrate their latest products and services, meet with industry partners and customers and examine market trends and opportunities. More than 10,000 HR business leaders attend the physical UNLEASH America/UNLEASH World events and generate networks to facilitate brand recognition and business development for more than 200 UNLEASH America/UNLEASH World exhibitors whose participation money provide UNLEASH America/UNLEASH World with the funds to host these events and reinvest back into the industry. However, the integrity of the show is diminished, and the value becomes diluted when companies seek – in an unofficial capacity – to capitalize on the UNLEASH America/UNLEASH World attendees who travel to Las Vegas/Paris to meet as an industry or participate in UNLEASH America/UNLEASH World.

The physical or digital UNLEASH America/UNLEASH World brings all facets of the HR tech community together and we recognize the critical importance of networking to build business. We encourage official exhibitors to host parties and special events to enhance an official presence before and after hours. However, such events should be held to strengthen a company’s UNLEASH America/UNLEASH World brand positioning, not held as stand-alone functions that compete against those who are making an additional investment in their brand activation at UNLEASH America/UNLEASH World.

Companies who outboard cause inconvenience to attendees and hurt the overall industry as UNLEASH Group Ltd invests UNLEASH America/UNLEASH World net proceeds back into the industry through industry promotion, research, standards development, public policy and related activities to benefit the entire consumer technology ecosystem.

Outboarding violates UNLEASH America/UNLEASH World policy and the International Association of Exhibitions and Events (IAEE) guidelines. When UNLEASH America/UNLEASH World determines that outboarding has occurred, UNLEASH Group Ltd will enforce the rule against the participating company and may impose penalties for violations. It is the UNLEASH Group Ltd Board policy that outboarding companies are subject to sanctions that start with the loss of priority points.

1. What real harm does outboarding cause?
UNLEASH America/UNLEASH World, like other trade shows, is based on the principle that gathering people in a limited locale or digital venue is efficient, cost-effective and allows relationships and business to develop for all involved. UNLEASH Group Ltd invests heavily in marketing, transportation and logistics to ensure that all attendees can maximize their investment and efficiency in getting to and around Las Vegas/Paris. For the physical UNLEASH America/UNLEASH World, outboarders seduce attendees away from the authorized show sites and disperse them throughout the city adding heavily to traffic congestion.

2. What are the consequences of an outboarding violation?
Outboarding is a violation of UNLEASH Group Ltd and UNLEASH America/UNLEASH World rules, is an unethical business practice and in violation of the International Association of Exhibitors and Events (IAEE) guidelines. Las Vegas/Paris hotels often require those (non‐exhibitors) who rent suites and meeting rooms to sign a document as part of the contract process attesting that the space will not be used as “outboarded” space. Companies who outboard may face several penalties as follows:

• Companies may be subject to exposure as an outboarder to UNLEASH Group Ltd members, media, customers and shareholders.
• Companies may also be subject to loss of its UNLEASH America/UNLEASH World sponsorship.

3. What should I do if I know of an outboarder or an outboarder contacts me to visit their event during UNLEASH event hours?
Please contact UNLEASH if invited to visit an outboarder, you can explain to the outboarder the impact of outboarding on UNLEASH America/UNLEASH World, the industry and official exhibitors.

Please note it as at UNLEASH’s sole discretion who is invited to the many invite only events that compliment our main conferences. If you are invited to one of these events please note that the invitation does not guarantee entry. In the case of an event or activation being full and entrance not being admitted then UNLEASH does not have any liability for refunds or credits for any part of its live events function.
